Program Coordinator

We’re looking for a Program Coordinator to join our Account Management Team, which is responsible for the flawless execution of all of Fast Forward’s training programs. This role collaborates closely with various account managers, the content manager, graphic design, facilitators and virtual producers, and our executive leadership team.

Responsibilities Include:
  • Program Management:
    • Scheduling/calendaring workshops and resources (e.g. facilitators, producers)
    • Documenting and organizing program logistics and materials in Dropbox, Asana, Hubspot
    • Managing program logistics (e.g. online event registration/RSVPs, printing/shipping materials, coordinating venue set-up for live events with facilities contacts)
    • Ensure accuracy of workshop materials (work with content designer on material creation, proofread, edit, assist with version control)
    • Consolidate workshop highlights provided by facilitators and producers (e.g. attendance, notable participant experiences) to share with internal teams and clients
    • Liaise with facilitators/producers, account managers, and internal teams to share learnings and recommendations
  • Participant Communication:
    • Draft and send participant communications to prepare for and follow up after workshops (templates to be provided)
    • Maintain inbox and instant messaging platforms to communicate/support participants who miss sessions (e.g. scheduling catch-ups and/or sharing relevant resources and materials)
  • Data Analysis/Reporting:
    • Analyze participant quantitative and qualitative feedback data and curate decks to merchandise program success to client (template decks to be provided)
    • Report on program metrics to internal stakeholders (e.g. number of workshops per week/month/quarter; number of workshops per facilitator/producer)
What will make you successful in this role:
  • 3-5 years experience with program or account coordination, or experienced EA looking for a second chapter
  • Mastery with Microsoft Office products (specifically, Outlook, Excel, PowerPoint) required; Experience with Zoom, Adobe Acrobat, Hubspot or other CRM, Slack, Asana or other project management tools a plus
  • Strong time management, project management, and task execution 
  • Stellar organization and attention to detail
  • The highest degree of integrity and a self-starter; must be comfortable working independently with a remote team
  • A desire for efficiency and constant improvement, with a focus on creative solutions
  • A global mindset with the ability to work across cultures and various time zones
  • A can-do, optimistic attitude and approach to work
